What is the difference between a wedding planner and a wedding coordinator?

While I am happy to offer guidance, suggestions, and my professional opinion during the planning process, I am ultimately here to make your day run smoothly. My job is to execute the plans you’ve worked so hard on, so that you, your partner, and your loved ones can be fully present and enjoy the day you've always dreamed of.

Do I need a wedding coordinator if my venue has a venue coordinator?

The short answer is yes, there is a big difference. While many venues provide a venue coordinator, their focus is solely on the venue. They ensure the space is set up properly, the lights are on, restrooms are stocked, and things run smoothly from the venue’s perspective. As your wedding coordinator, I manage every aspect of your day, vendors, family, decor, timeline, and more. I’m there to guide the flow, solve problems before you even notice them, and support not only your vision but also your peace of mind. Having both ensures every detail is covered, but your wedding coordinator is the one by your side making sure your vision is fully brought to life.

When should I hire a wedding coordinator?

At Olive and Oak, our coordination process begins 7 months before your big day. This gives us time to get to know each other, become familiar with your vision, and start working through some of the important details. You can book as early as 18 months before your wedding and we accept bookings up to 3 months before your wedding, depending on availability. The earlier you book, the more we can support you throughout the process.

What do you do if something goes wrong?

While the goal is always a flawless day, it’s completely normal for a few bumps to arise, and that’s exactly why we’re here. Throughout the planning process and during our meetings, we will discuss how you would like unexpected situations handled. Some couples prefer to stay in the loop about everything, while others want to stay blissfully unaware and enjoy their day without distractions. Either way, we customize our approach to match your preference. If you’d rather stay focused on celebrating, we’ll quietly take care of any issues behind the scenes, within the parameters we’ve discussed. If you'd like to be involved in decisions, we’ll check in with you before making any major calls. No matter what, we’ll be there to handle anything that comes our way, always with your best interest in mind.
